Record Keeping Software for Heavy Vehicle Operators

A record keeper's job is to hold drivers' work and rest records, keep them readable and produce them when asked. Logmaster stores those records in the cloud from the moment each entry is made. Its electronic work diary is NHVR approved, and the platform carries ISO 27001 certification.

Paper Records Age Badly

Work diary records have to be kept for three years, and an authorised officer or the driver can ask to see them. With carbon copies, that means boxes, filing, faded ink and the odd missing page. Finding one driver's week from two years back can take an afternoon.

Records That File Themselves

Logmaster is an NHVR approved Electronic Work Diary (EWD) with a web portal for record keepers. Each entry a driver makes is stored against their profile with the time, the suburb and the fatigue plan in use. NHVR guidance says EWD information must be kept so it's readable, reasonably capable of being understood and usable as evidence. The portal turns entries into reports and exports that an officer can read without logging in. Where an operator uses a technology provider, that guidance makes both legally responsible for record keeping, so the operator stays in the loop.

What the Software Handles for the Record Keeper

Three Years in the Cloud

Entries are stored online as they're made, so there's no archive to build and nothing to lose in a depot move.
Visibility

Weekly Log Sheets Delivered

Completed weeks are sent out automatically, giving the record keeper a regular copy without chasing anyone.

Driver Requests Answered

Record keepers must give drivers their EWD information when asked, and a driver's history can be pulled up and exported from the portal.
Mobile Coverage

Readable Without the System

Reports export as documents an authorised officer can read on paper or screen.
Paperwork

Written Diaries Added

Paper diary entries can be keyed into the workbook, so drivers who haven't switched are breach-checked in the same place.

Checks Filed Alongside

Pre-starts, fitness declarations and incident reports sit with the diary records and export as PDFs.

Heavy Vehicle Drivers

Drivers stop handing in carbon copies. Their entries reach the record keeper automatically, and they can ask for their own records at any time.
Record Keepers

Fleet Managers and Record Keepers

Record keepers spend their time checking and following up rather than filing, with every driver's records searchable in the portal.
Transport Business Owners

Transport Business Owners

Owners know the records exist, are complete and can be produced, which counts in an audit, an investigation or a dispute.

Records Held for More Than 1,200 Businesses
